Part 1 The problemWhy teams need this

01 · THE PROBLEM

A voice agent that says 'someone will call you back to book' has just lost the patient. Front desks miss calls at lunch, after hours and whenever they're with someone. Booking live, against the real diary, is what turns a missed call into a filled chair.

Part 2 How it worksWhat it does, step by step

02 · WHAT IT DOES

Built for a dental practice using an AI voice receptionist. When a caller asks for an appointment, the agent calls this workflow to read the real calendar and offer the free slots. When the caller picks one, a second call books it straight into the calendar and confirms it back to the agent, while the caller is still on the line.

03 · HOW IT RUNS

Step by step, as built.

  1. Caller asks for a time

The voice agent calls the availability webhook with the requested day.

  2. Read the real diary

Booked events are pulled from Google Calendar for that day.

  3. Offer what's free

A small step works out which standard slots are still open and returns them to the agent.

  4. Book it on the call

When the caller chooses, the booking webhook creates the calendar event and confirms it to the agent.

04 · TOOLS AND APPS

Built around the systems already in the process.

Google CalendarProcessing and orchestration
WebhookDestination or delivery

05 · WHEN SOMETHING BREAKS

Failure is designed in.

Standard on every build

  • Schema validation before downstream writes
  • Retry and error routes for external API failures
  • Duplicate-safe processing and idempotent updates
  • Human approval where the action carries business risk
  • Execution logging for support and audit review

Part 3 The impactWhat it's worth, and how we'd build yours

06 · PROJECTED IMPACT

What it should change in the business.

01Books appointments 24/7Projected
02Zero double-bookingsProjected
03No front-desk time per bookingProjected

Projections for a typical deployment. The calculation below shows the math, and you can put in your own numbers.

07 · ROI CALCULATION

How it pays back in your business.

The starting numbers are a hypothetical deployment sized to the projections above. Change any of them to your own volumes and costs, and the math updates underneath.

Projected net value per year$11,840320 hours back per year
Full-time equivalent freed
0.2 people
Gross value
$12,800
Running cost
−$960
Return per $1 of running cost
$13.3

The math: 400 booking calls × 5 min × 12 months × 80% ÷ 60 = 320 hours a year × $40/hour = $12,800. Net value = gross value − $960 running cost a year.

08 · HOW WE'D BUILD YOURS

How we'd build yours.

  1. Discover: map the current process, systems, volumes, owners and exceptions.
  2. Design: define the canonical data model, approvals, retries and system boundaries.
  3. Build: implement credentials, nodes, validation and observable error routes.
  4. Prove: run controlled data through success, duplicate and failure scenarios.
  5. Operate: publish runbooks, ownership and measurable service levels.

Workflows we built for a home-services contractor, a dental practice, a reserve-study firm and an indoor cultivation facility. Names are kept private; the workflows are real.
