Coordinators triage every request by hand.
Texts, emails and portal requests arrive all day. Each one is read, prioritised, matched to a vendor and chased, and urgent ones get lost among the routine.
PROPERTY MANAGEMENT · REAL ESTATE OPERATIONS
Portfolio growth usually means hiring another coordinator. Maintenance requests, tenant questions, lease details and owner reports scale linearly with every door. We build the AI layer that handles that volume inside your property system, so each manager can run more units without the service slipping.
Usually AppFolio, Yardi, Buildium or Rent Manager.Your property system stays the record. We fill it and act on it.

01 / WHERE THE HOURS GO
These are the four places the work leaks most often. Most firms have at least two of them running right now.
Texts, emails and portal requests arrive all day. Each one is read, prioritised, matched to a vendor and chased, and urgent ones get lost among the routine.
Rent, parking, pets, renewals, move-out. Staff answer them from memory and the lease, interrupting the work that actually needs a person.
Financials, maintenance and commentary are assembled by hand for every owner. The more owners you win, the longer the first week of the month gets.
Photos and notes from a walk-through become a written report days later. Engineering and condition reports take even longer, and owners wait.
02 / WHERE AI PAYS BACK
Ranked by how fast they usually pay back. The free audit puts your own numbers in the last column.
| Use case | Today | With Chronexa | Typical impact |
|---|---|---|---|
| Maintenance triage | Every request read and routed by a coordinator | Triaged, prioritised and dispatched to approved vendors | 50–60%less coordinator time |
| Tenant communication | Staff answer routine questions all day | Answered from the lease and ledger, 24/7, with escalation | 70%of routine questions handled |
| Lease abstraction | Leases read and keyed by hand | Key terms extracted and checked against the system | 80%less abstraction time |
| Owner reporting | Assembled per owner each month | Generated from the property system with narrative drafted | Hours → minutesper owner report |
| Inspection & condition reports | Written days after the walk-through | Drafted from photos and notes the same day | 85%less time per report |
Typical results from systems we have delivered and comparable deployments. Your audit replaces them with your own numbers.
03 / SYSTEMS WE CONNECT
We connect what you already run first. APIs where they exist, MCP servers and careful automation where they do not.
04 / THE CONTROLS
The controls are designed in from the first workflow, not added after something goes wrong.
Vendors are dispatched only within approved amounts and categories. Anything above the limit waits for a manager.
Tenant answers come from the actual lease and ledger, with the clause cited. Anything legal or sensitive goes to a person.
Screening, pricing and eligibility decisions are never automated. Communication templates are reviewed for fair housing compliance.
05 / THE ENGAGEMENT
Scope, what counts as working, and the price. Built in your own accounts, documented and exportable. The free audit comes first, and so does the first workflow.
RELEVANT WORK

A property engineering firm produced long technical reports from site photos, inspector notes and financial models. We built the engine that reads the photos, extracts every component, runs the numbers and drafts the report. Analysts review instead of write.
Time per report fell by about 85%, across more than 1,200 reports a year. The same pattern applies to inspection, condition and owner reports in property management.

A strategy call covers your property system, your request volume and your reporting. You leave knowing where AI lets each manager run more doors, and what it would cost to prove it.

A FEW GOOD QUESTIONS
Yes. We connect through their APIs and integrations to read units, leases, tenants and ledgers, and to create work orders and notes. Where an integration is limited, we use the supported import and reporting paths. Your property system remains the system of record.
Yes, and we recommend it. The assistant introduces itself, answers routine questions from the actual lease and ledger, and hands over to a person for anything sensitive, legal or out of policy. Tenants mostly care that they get an accurate answer quickly, at any hour.
Only within the rules you set: approved vendors, categories and spending limits. Urgent issues such as active leaks can be dispatched immediately; anything above the limit or outside the rules waits for a manager. Every dispatch is logged with the reason.
Screening, pricing and eligibility decisions are never automated. Communication templates are reviewed, the assistant does not answer questions that could steer applicants, and those are routed to your team.
There are no packages. The audit is free and so is the first workflow. After that, each build is quoted against the coordinator time and reporting effort it removes, and you approve the scope and price before work starts.
