Part 1 The problemWhy teams need this

01 · THE PROBLEM

Routing a lead to a rep is half the job. The other half is making sure the rep actually calls. Without a watchdog, a lead assigned to someone who's on another job at 2pm just sits there, and you never find out why you lost it.

Part 2 How it worksWhat it does, step by step

02 · WHAT IT DOES

The partner to the routing engine. Every five minutes it looks for assigned leads that nobody has contacted inside their deadline. It escalates them, hands the hottest ones to the least-busy rep, tells the manager and logs the breach. If nothing's overdue, it does nothing.

03 · HOW IT RUNS

Step by step, as built.

  1. Find overdue leads

Every 5 minutes, pulls assigned leads whose first-response deadline has passed with no contact.

  2. Check who's free

Loads active reps, the SLA settings and each rep's current open-lead count.

  3. Escalate and reassign

A-tier and emergency leads move to the least-loaded other rep; everything overdue is escalated.

  4. Tell and log

The manager gets a notification and the breach is written to the log for reporting.

04 · TOOLS AND APPS

Built around the systems already in the process.

BaserowTrigger or source
GoHighLevelProcessing and orchestration
WebhookDestination or delivery

05 · WHEN SOMETHING BREAKS

Failure is designed in.

  • 1node retries automatically when an external API fails.

Standard on every build

  • Schema validation before downstream writes
  • Retry and error routes for external API failures
  • Duplicate-safe processing and idempotent updates
  • Human approval where the action carries business risk
  • Execution logging for support and audit review

Part 3 The impactWhat it's worth, and how we'd build yours

06 · PROJECTED IMPACT

What it should change in the business.

01No lead waits past its SLA unnoticedProjected
02Auto-reassign within 5 minutesProjected
03Manager alerted on every breachProjected

Projections for a typical deployment. The calculation below shows the math, and you can put in your own numbers.

07 · ROI CALCULATION

How it pays back in your business.

The starting numbers are a hypothetical deployment sized to the projections above. Change any of them to your own volumes and costs, and the math updates underneath.

Projected net value per year$85,260569 leads recovered per year
Gross value
$85,320
Running cost
−$60
Return per $1 of running cost
$1,422

The math: 600 leads × 12 months × (8% lost − 0.1% still missed) = 569 leads recovered × $150 = $85,320. Net value = gross value − $60 running cost a year.

08 · HOW WE'D BUILD YOURS

How we'd build yours.

  1. Discover: map the current process, systems, volumes, owners and exceptions.
  2. Design: define the canonical data model, approvals, retries and system boundaries.
  3. Build: implement credentials, nodes, validation and observable error routes.
  4. Prove: run controlled data through success, duplicate and failure scenarios.
  5. Operate: publish runbooks, ownership and measurable service levels.
