Part 1 The problemWhy teams need this

01 · THE PROBLEM

Big imports fail in the middle. Without a safety net you end up with leads stuck as 'processing' forever, or the same person getting two emails. This feeder makes a half-finished batch safe to run again, so your team never has to clean up a spreadsheet by hand.

Part 2 How it worksWhat it does, step by step

02 · WHAT IT DOES

It pulls fresh leads from your lead database in batches and hands them to the outreach engine one at a time. Each lead is claimed before it's sent, leads without an email are set aside, and if the engine hiccups the lead is quietly put back in the queue for the next run.

03 · HOW IT RUNS

Step by step, as built.

  1. Fetch new leads

Pulls every lead still marked New from the master lead table in Baserow.

  2. Split and check

Splits the batch into single leads. Any lead without an email address is moved to the dead-letter status straight away.

  3. Claim, then send

Each lead is marked Processing before it is sent to the Outbound Engine, so a parallel run can't take it too.

  4. Roll back on failure

If the engine call fails, the error branch resets that lead to New instead of leaving it stuck.

04 · TOOLS AND APPS

Built around the systems already in the process.

WebhookDestination or delivery

05 · WHEN SOMETHING BREAKS

Failure is designed in.

  • 1node has its own error branch, so a failure is routed and handled, not just logged.
  • 1decision point (IF or Switch) checks the data before it moves on.
  • ✓Anything unhandled triggers our central error workflow, so a crash gets reported instead of failing silently.

Standard on every build

  • Schema validation before downstream writes
  • Retry and error routes for external API failures
  • Duplicate-safe processing and idempotent updates
  • Human approval where the action carries business risk
  • Execution logging for support and audit review

Part 3 The impactWhat it's worth, and how we'd build yours

06 · PROJECTED IMPACT

What it should change in the business.

01Ingests 2,000+ leads per batchProjected
02Auto-deduplicationProjected
035-min schedule cycleProjected

Projections for a typical deployment. The calculation below shows the math, and you can put in your own numbers.

07 · ROI CALCULATION

How it pays back in your business.

The starting numbers are a hypothetical deployment sized to the projections above. Change any of them to your own volumes and costs, and the math updates underneath.

Projected net value per year$43,0801,080 hours back per year
Full-time equivalent freed
0.6 people
Gross value
$43,200
Running cost
−$120
Return per $1 of running cost
$360

The math: 2,000 leads moved into outreach × 3 min × 12 months × 90% ÷ 60 = 1,080 hours a year × $40/hour = $43,200. Net value = gross value − $120 running cost a year.

08 · HOW WE'D BUILD YOURS

How we'd build yours.

  1. Discover: map the current process, systems, volumes, owners and exceptions.
  2. Design: define the canonical data model, approvals, retries and system boundaries.
  3. Build: implement credentials, nodes, validation and observable error routes.
  4. Prove: run controlled data through success, duplicate and failure scenarios.
  5. Operate: publish runbooks, ownership and measurable service levels.

SAME SYSTEM

Outbound that researches before it writes.

Two workflows that work as a pair. The feeder hands over leads one at a time. The engine researches each company, writes the email, and waits for a person to approve it.
